The Art Collection and Galleries Unit delivers professional management of the University’s Art Collection, the Deakin University Art Gallery and associated display spaces across the Melbourne, Geelong and Warrnambool Campuses.
The Administrative Officer position in the Art Collection and Galleries unit has a dual focus. The role provides reception service during weekday Gallery opening times and coordinates occasional casual gallery attendants when required. The successful applicant will be an enthusiastic supporter of the Unit’s events program and will be a professional presence at exhibition openings. You will organise logistics for events, including porters and catering, while booking security and engaging with online event registration.
The other focus for the role is the provision of high-level administrative support to the Senior Manager of the Art Collection and Galleries, and the Art Collection and Galleries Unit. This aspect of the position will draw on your digital capability, as the role will involve you engaging with a range of office-based systems (invoicing, Unit correspondence, Excel, Snap Forms) in addition to liaising with the general public, artists and graphic designers who use Mail Chimp. You will smooth the way to ensure that invoices are paid, budgets are monitored and the administration of the annual Small Sculpture Award all progress effortlessly.
Your key responsibilities will include the requirement to:
Undertake reception duties for Deakin University Art Gallery when the venue is open to the public, answering public enquiries, roster casual staff to cover planned absences and organise logistics associated with gallery events.
Provide general high level administrative support for the Senior Manager including assisting the Senior Manager to monitor the Unit’s budget and undertake a range of administrative tasks on behalf of the Unit.
Undertake the administration of the Unit’s annual Contemporary Small Sculpture Award, under the direction of the Senior Manager, including preparing entries for judging, notifying successful/unsuccessful applicants, arranging receipt and collection of sculptures and overseeing the entry system.
Assist with promotion of the Unit’s activities including monitoring of advertising schedules, drafting and placing of line listings in art magazines
Maintaining the Unit webpage in liaison with the IT department
Assist the Special Advisor to the Vice-Chancellor with finance administration and administration as required.
To be successful, you’ll have:
Completed an Associate Diploma level qualification with relevant work experience or a certificate level qualification with post certificate relevant work experience; or
An equivalent combination of relevant experience and/or education/training.
Experience in customer service or a public facing role.
Experience working in, or having an interest in visual arts (desirable).
